Northern California Wedding Planner | Miners Foundry Weddings, Nevada City

Have you ever connected with a space, every time you walk in you just instantly feel at ease? From our first wedding at Miners Foundry Cultural Center in Nevada City back in 2015 to our most recent wedding last fall, it is simply a space a space I could never tire of because it can be something entirely different for every event that takes place there!

The Stone Hall is the show stopper of the venue, from the dramatic beams and stone work to the stone fireplace and when you add a pop of decor like the fabric draping or lounge furniture - it’s just stunning. Some couples choose to do ceremony in the Stone Hall, and reception in the Osborne Room while others have done their ceremony in the upper gallery and used the Stone Hall for dinner & dancing; there are many different variations.

We’ve also done weddings were the ceremony and reception is held in the Stone Hall and during the cocktail hour our team along with the catering staff transition (aka flip) the space from the ceremony set-up to reception. It’s always an exhilarating task and so rewarding to see everyone’s reactions when they come back into the space.

What’s also really great about Miners Foundry, is the proximity to the local shops, bed and breakfasts, hotels and more so the guest experience is always really fun for those who can spend a little time to enjoy Nevada City. Since we are based in Chico, it is an easy (and beautiful) drive to Nevada City and always a treat to work in the area so if you are looking for a really awesome destination in Northern California for your wedding definitely check out Miners Foundry!

Northern California Wedding Planner | IronGate Garden Inn Wedding Venue

Chico’s newest wedding venue Irongate Garden Inn is officially booking weddings for the 2019 & 2020 season and we couldn’t be more thrilled that we will be spending a lot more weekends there planning amazing weddings. Owners Krista and Neal worked so hard to make this property perfect for weddings and they took the time to connect with the local wedding professionals to gain feedback on what our couples need. We wanted to show you some of our favorite elements of the venue!

The stone courtyard has given us #allthefeels since the first time I walked through the property and I just knew that wedding magic was going to happen here. In fact this courtyard has seen many weddings under former management years ago, but what is most amazing is that Krista and Neal have brought it back to shine even brighter than its’s former glory.

Northern California Wedding Planner | Planning Your Wedding During a Disaster

A week ago today, the world as our little community knew it changed. The amount of loss in from the #campfire is devastating, and unprecedented. With each press briefing and community meeting we learn more details and updated numbers of lives lost, and damaged homes and structures. Our couples, “friendors”, neighbors and friends all are touched by this fire and our own experience of being evacuated was surreal in itself.

While we are working to assist our couples who are affected, and offer support to vendors who have lost their homes or businesses we also want to offer support to couples who aren’t sure how to proceed. Who can you talk to about your wedding plans in a time like this, when everyone around you is in disaster mode? We are here for you with a shoulder, an ear, and a clip board of to-do lists on how we can help you.

Maybe originally you felt that you could plan your wedding with family and friends but now feel like you aren’t sure what life around you will look like a few months from now or even a year. Please give us a call and let us know your situation, as many venues and vendors have offered to help couples with making changes to their existing plans or easing the process for those going forward.

Planning a wedding is an exciting time, one that you want to share with your friends and family and we still want you to be able to have that amazing day!

Northern California Wedding Planner | Wedding Day Roles & Responsibilities

So who does what on your wedding day?  This can be confusing, and sometimes you just don't know what needs to be done in the first place..read on for just 5 of the many roles that are essential for a seamless wedding day!

It's scientifically proven that you can't be in two places at once so how can you reduce the stress of making sure that everything is done according to plan on your wedding day? This question should be considered long before you hire your wedding vendors, because if you select a venue, caterer or rental company who does not set-up the tables & chairs or handle any of the labor - you'll need a small army to take on the task.  Want the short version? -- > Meet with a wedding planner who can help you book full service professionals! 

1) Tables and chairs - This is one that seems to sneak up on people because you may have only considered that you need 150 chairs for your guest count, but will you need to rent two sets (ceremony + reception) or have one set that needs to be moved over during cocktail hour? Table set-up is straightforward in theory but you do want to ensure that all of the tables are spaced evenly and leave enough room for chairs/guest movement. A full service caterer is well equipped with an efficient staff to handle the set-up and break-down of tables, chairs and food service areas for your event. 

2) Centerpieces & Decor - We love when couples personalize their wedding by incorporating design elements that are authentic to them as well as photos and signage. As wedding planners we assist with overseeing the placement of your rentals and putting the final touches & personal decor together for your welcome table, ceremony area, guest tables etc. 
Tip: Try to hold back the temptation to go crazy on Etsy, Amazon, Pinterest and other rabbit holes so that you won't need a U-Haul just for all of your decor.  We recommend finding focal points that have an impact and being conservative with extra items - sometimes less is more! 

3) Guest tables - You probably have an idea where we are going with this by now - but it is imperative that you have a catering staff on board who is prepared with the correct event details, brings adequate staffing, and will handle bussing/clearing plates & garbage etc.  Don't get left with plates piled high at your guest tables and dishes to wash for 150 guests, that's not cool.

4) Pop Fizz Clink - Thinking of your wedding has you reaching for the champagne bottle - but hold that thought! What will your guests be drinking out of (glassware or disposables?) and who will be providing/delivering/stocking/serving and last but not least - cleaning up your bar? 
Be sure to double check with your venue about required license/insurance requirements for the bartender

5) Order of events - A wedding day goes by so fast and there is only so much lighting to go around, having an organized timeline including all of the photos that you are planning to incorporate is important.  Your wedding planner and photographer will work together on the timeline details along with your DJ and caterer to ensure that everyone is on the same page.  Your wedding planner will be there to cue each element (ceremony processional, wedding party introductions, toasts etc) while your DJ will be the emcee to keep guests informed throughout the evening.

Northern California Wedding Planner | Logistic's For The Win

We've all heard that old saying - "practice makes perfect;" well when it comes to weddings we think it is the logistics that save the day! 

When you book your wedding venue or even when planning a wedding in your own back yard, you are taking a canvas and filling it with tables, chairs, DJ equipment, dance floor, buffet tables, a bar and much more.  Then the task becomes designing the space so that it is not only beautiful, but so that it is nice and open - no bottle necks of traffic at the bar or the buffet line and that everyone can see the events going on throughout the evening.  

Adding tools, features and resources to our planning packages not only improves efficiency on the backend but we know it gives couples the extra reassurance that all of the details are being managed.  When we sit down with our full service and design clients we are able to build the experience with them from day one!

This process takes vision, and critical thinking skills because we aren't always working with a cookie cutter space.  We also have to consider power supply, lighting, level ground and the logistics for catering to prep and serve the food.  Sometimes we sketch the space and give an outline of the set-up after walking through the space, and getting to hear more about your vision.  Then we can apply these sketches and the couple's wish into a more detailed floor plan design that we can share with all of the vendors ahead of time.

Aside from the planning of the space we also build your timeline so that you can make the most of your day.  We don't want to waste any precious moments due to something that could be prevented such as transportation problems, lighting or venue access.  

Our couples can log into their planning dashboard and have 24/7 access to their timeline, guest list, budget, design studio and planning checklist among many other helpful tools!

When your guest count changes so does your rental order, catering invoice, floor plan and transportation schedule.  Having a wedding planner on board to communicate with all of the event partners you have booked will save you time and ultimately give you a smoother wedding experience overall.

Northern California Wedding Planner | TJ Farms Wedding - Dara & Nick

One of the best perks of the "job" is getting to step into such a special world with each couple and learn about their love story.  We meet family members, wedding party and close friends of the couple who are all there to support two people on their big day.  With Nick and Dara we shared morning phone sessions, emails, site visits & text messages throughout the months of planning their TJ Farms wedding.  

We were so excited that Dara and Nick were working with Matthew Lim Photography as we had been following his work on Instagram and loved his eye for detail.  Their engagement session photos literally made us a little misty eyed because he just really "got" them and brought their love story to the photo so perfectly.

Dara and Nick chose Hotel Diamond for getting ready before their ceremony, and we love all of the beautiful shots of the details.  Her dress, those shoes and hey we'd say Nick cleaned up pretty nice! These quiet moments leading up to the first look are just what the couple needs to gather their thoughts and prepare for the big day.

Northern California Wedding Planner | Getting Back to Basics

Our last wedding of 2017 was this past weekend (yes, two days before Christmas!) and throughout planning this intimate wedding we knew the couple wanted to keep things pretty simple.  As the weeks led up to their big day and the details come together such as finalizing their menu with the restaurant, confirming delivery times and ceremony details..pretty normal.  However with a guest count of 20, the focus was different.  It wasn't about all of the decor, it wasn't about minute to minute timeline details.

Instead, it was simply a short and sweet ceremony at 5, everyone would enjoy cocktails in the bar and then head down to the wine cellar room for dinner, cake & dancing!

 Two Twenty Restaurant prepared a beautiful dinner and we had Northern California Productions (NCP) playing music throughout the evening.

A few things that stood out to all of us who were a part of the event team:

  1. No pressure - Everyone seemed so at ease the whole day from hair and make-up to the light hearted ceremony all the way to the last song of the evening.
  2. Guests felt like it was a special treat, and were able to spend time with the couple 
  3. Affordable - Weddings are expensive, we totally get it but rather than invite 150+ guests and feel like you are constantly having to cut corners couples should consider keeping the guest list on the smaller side to truly get to allocate their budget to the guest experience without the stress.

Northern California Wedding Planner | Mountain House Estate Wedding ~ Brooke & Austin

We couldn't be more excited to look at images from Brooke and Austin's wedding day because it takes us back to the planning stages, and our phone sessions where we'd cover the various elements of their wedding day.  To say that Brooke was a cool bride is an understatement, she was organized and effortlessly on top of it.   Her dress had pockets, her dad's toast made us cry, and they totally rocked the dance floor.  Our couples are seriously the best! Brooke & Austin chose a beautiful wedding venue and were so much fun right from the start.

When we were first exchanging emails with Brooke and getting glimpses of her inspiration and design concept, we were hooked.  So when we heard that we would get to work with Brooke and Austin we did our happy dance then got right to work on learning more about Mountain House Estate and some of the local event partners on her list.

We always say that the wedding party and family members have a huge effect on the wedding itself, and Brooke & Austin's wedding could be the poster wedding for being surrounded with love and support from those around them.  Their tight knit wedding party was with them every step of the way and were hands on with wedding details.  Austin's dad made their ceremony altar and we were just blown away with the love & warmth, and how excited everyone was to see this day arrive.  

Brooke and Austin's wedding day was one of those that receptions that could have lasted hours longer as everyone was dancing and enjoying the perfect evening together.  We enjoyed working with such a great wedding venue and highly recommend Mountain House Estate to couples who are looking for a versatile & inviting space for their wedding in the Cloverdale area.  If you missed the highlight video, check out this film by Katie B Images below:

Time flies but it feels like we were just sitting down with Caitlin & Grant to plan their wedding, looking through Caitlin's inspiration photos and attending appointment with vendors.  Now, here we are about to wrap up our 2017 but not without a special blog post about Caitlin & Grant's beautiful wedding day!

Caitlin and Grant are just one of those couples who are so in tune with each other and just fun to be around.  Caitlin is a teacher and Grant works for PG&E so they already had a lot on their plate on top of trying to plan a wedding.  It was our pleasure to be a part of their day and to make wedding planning as smooth as possible for them! 

Caitlin & Grant's friends and family were the sweetest people and there was a lot of love & laughter around.  Caitlin really thought of everything for her day including lots of games for the kiddos to enjoy out on the lawn.

Northern California Wedding Planner | Keeping Your Wedding Budget in Check

Our tips for keeping your wedding budget in check

If we had to name one thing that can really cause stress it wouldn't be hard to guess that the Budget topic is first on the list.  Why? Because it is often skipped over in the excitement of being engaged and the couple or the families of the couple choose a wedding venue off the bat without realizing how that impacts the rest of the budget moving forward.  

Looking at sites like The Knot and Wedding Wire, you will see an estimation of 50% of your total budget going towards the cost of the venue.  What varies greatly is what the venue actually provides.  If your venue doubles as your ceremony and reception venue and includes amenities like tables and chairs, you probably in good shape.  

Our advice is to A) Discuss the budget and be realistic on how much you are comfortable putting away or who will be contributing.  B) Meet with a wedding planner who can put these numbers into perspective for you based on the area C) Create two spreadsheets based on your top two venues and break down how the budget would be allocated in both scenarios.  

Wedding planning is fun we promise, but it does come with some reality checks and for good reason.  We strongly believe in planning for the experience and not for the "stuff" or you will definitely go over budget and feel like you are being over taken by the whole process.  

We use a planning dashboard to help our couples through their planning and budgeting so that we can track costs and keep all of those items in check.  By tracking deposits, payments and final balance it keeps the financial aspect much more transparent.

Northern California Wedding Planner | Gover Ranch Wedding - Nikki & Brock

We always do a little bit of photographer stalking when it comes to seeing images after a wedding day, but we were especially anxious for Nikki & Brock's wedding day.  These two had smiles on the whole day, and to say that Nikki was organized is an understatement.  Her lists and diagrams of how she envisioned her tables & decor set-up made our little planner hearts happy!

Northern California Wedding Planner | Laura and Leah ~ S.F City Hall & Foreign Cinema

From our fun phone sessions to visiting them in San Francisco to walk their space with them, we've been pretty hooked on Laura and Leah from the start.  If there is one thing that keeps us so passionate about what we do, it would definitely be the connections that we make with our couples.  Our glimpse into their world was cozy, energetic and so genuine.

It was no surprise that Laura and Leah's engagement shoot was featured in the Knot Northern California edition, shot by Amanda Wei Photography.  We knew their photos would be super adorable.

When it came to planning details with Laura and Leah, they were quick to make decisions and knew just what they wanted.  They had already selected their date and ceremony location, and we were so excited to be a part of a ceremony at the San Francisco City Hall.  The architecture and the romantic buzz of couples getting married all around us was so fun.  Next, they chose Foreign Cinema for their reception and it couldn't be more perfect for an intimate event.

Our favorite part of the evening had to be Laura and Leah's salsa dance that was so perfectly them, and their smiles just showed how in love they are!  

Foreign Cinema blew us away with their amazing staff & service not to mention the passed appetizers followed by a four course meal with delicious dessert.  Guests did not leave hungry, and they danced the night away.  We couldn't have loved their wedding day more, just an absolute joy to share in the love between the two of them and their beautiful family & friends.
