Northern California Wedding Planner | The Fine Print

Booking your wedding venue is an exciting milestone, you've found the place where your family and friends will gather to celebrate with your marriage.  When you sign your venue agreement don't let your excitement rush you into signing before you have read the policies of the venue in close detail.  

Venue Policies

Dreaming of a romantic candle-lit reception or a sparkler send off? Want to party until 2 am? It is very possible your venue policy prohibits open flame and has an ordinance that requires music to be off by 10 or 11 pm.  Maybe you want to bring in an outside caterer, double check that you are able to choose your vendors and if there are any additional fees for doing so.  Bring your list of must-haves/wants with you to a venue appointment and go over each item.  

Access

From a timeline standpoint, the first thing I want to know is when you will have access to the venue and what the set-up and break-down terms are.  Best case scenario is having access to the venue for rehearsal including some additional time for setting up tables and chairs (without linens if outdoors.)  Not only does it save time for the wedding day, but it also allows couples to see the table placement, aisle and other set-up to make sure they approve of the layout.  Will guests be able to leave their cars in the parking lot after the reception if they called a cab? These are important questions to ask your wedding planner!

Alcohol/Bar 

Be sure to confirm if outside alcohol is permitted, and the requirements for serving.  The venue may require you to hire security and the number of guards may depend on the guest count and the type of alcohol you are serving.  For example, if you have 150 guests and the venue requires 2 guards, then figure $25-40 per hour for each guard for 5 hours plus travel. 

Clean-up

This is the one area that couples often underestimate, because until you have gotten married you just won't understand how long the wedding day is as a whole, but how fast the reception goes by! You'll need to have all of your personal items, rentals & decor packed in addition to ensuring that all venue requirements are met (tables and chair put away, kitchen/common areas cleaned, and even removing garbage.) Unless you have several volunteers this may not be feasible in the 45 minutes to an hour that you have to clear out.   The real question is, do you want your wedding party or family to clean after your wedding?

We totally get it, Pinterest has all of these inspiration photos that will drive you crazy until you find just the right place to hold your wedding.  We just want to be sure our couples have all of their needs met along the way!

Northern California Wedding Planner | Creating Your Vendor Team

In the movies wedding planning sure looks glamorous! We won't lie there are some pretty great perks to being a wedding planner like being able to witness so many beautiful wedding days, surrounded by lovely florals and decor.  With that being said, the point we want to hit home is that no one vendor is solely capable of executing the logistics of a wedding day.  We are absolutely a team and we rely on other professionals to be experts at their craft.  We are sharing a handy guide on venue and vendor selection, so make sure to grab your free PDF.

Today we met with wedding vendors who each blew us away with their incredible passion for their profession and for serving couples.  A florist who can take a few inspiration photos and pull pieces that took the design to the next level and made the bride so excited about her upcoming wedding she was instantly glowing.  Later in the afternoon we met with a DJ who gave great advice about the floor plan and had excellent song recommendations to help the couple capture the energy and essence of their relationship into their reception.  While every wedding is unique, there are common practices for weddings and large events that are important to not only keep the event running smooth but to also enhance the couple's experience with their guests.

Wedding budgets can be tricky and understandably it is tempting to want to start cutting costs or to reach out to friends and family who have various connections or interests in related fields.  Personally, if I could give one piece of advice to couples it would be to hire professionals across the board.  While aunt Linda bakes excellent cakes for birthdays and family reunions, taking on your wedding cake is another ball game!

So what goes on behind the scenes amongst vendors? How do they communicate and who gets to decide what is happening when? Well first off, you are the client and can decide when you want to cut the cake! Aside from those details, the main goal is to make the most of your day (it goes by so fast!)  Our preference is to help couple's curate their vendor team based on budget and style preferences but often for event management and partial planning packages the majority of the vendors have already been selected.

When we communicate with your vendors we start to gather details like how many hours of service they are providing, when they will set-up/break-down and any needs they have from us.  From a wedding planner standpoint, I like to start with the photographer's timeline first based on the hours of coverage and where the bride will be getting ready.  Then if the photographer's assistant or (second shooter) is able to capture the groom and groomsmen portraits we build that in as well.  Once we have designated the coverage and ensured that you will get everything that you need covered such as getting ready shots, first look photos, all the way through bouquet & garter if you are opting for those.

For the most part we very rarely have major changes to make on the timeline, but once the timeline has been reviewed by the couple, photo & video team, hair and make-up, caterer and florist we can pass it along to the remaining vendors.  Now, if couples are using a family member or friend I will also call them and go over the timeline to ensure they understand the expectations.  By not voicing your specific needs to your friend or family member even if they are gifting their services, it can easily lead to miscommunication or disappointment if outcome wasn't what you expected.  

Every couple's priorities are different as far as where they want to allocate their budget. For example, If creating an incredible dining experience for your guests is the top of your list you should start with a full service catering who can staff and execute the event to your standard and discuss venue options that are suitable for this experience.

Real Wedding at Yuba City Fairgrounds

Congratulations to Mr. & Mrs. Dorenzo!

We first introduced the couple and their engagement story with you in April of this year, and we are excited to congratulate the couple on their marriage and their wedding day on July 3rd 2011.  If you missed our post "On the road to I Do' Melissa & Gavin", Click here to check it out! Melissa is a DIY bride all the way, she arrived at The Palms Pavilion and started decorating at 05:45 a.m on the day of her wedding!

Thinking ahead, Melissa did much of the work before hand such as folding the napkins, creating the programs, and creating personal touches like her picture board featuring many pictures of her and Gavin.

Her table settings included brown table linens with pink runners, which matched her centerpieces that she also created herself. Square Glass Vases filled with glass beads and adorned with different variations of Gerbera Daisy's and Roses.

Melissa made her table number cards and her programs, she was a busy girl!

It was a very warm day, but The Palms Pavilion made a beautiful backdrop for Melissa & Gavin's Big Day.

Gavin and his groomsmen had no problem entertaining themselves while his beautiful bride was getting ready!

The Bridesmaids looked lovely in their dresses which were made by the Bride's mother Cathy.

Okay we know you have been waiting to get a glimpse of the bride, and here she is getting ready.

The guests have all arrived and it is time for the ceremony to begin.

 

It's official everyone, these two have tied the knot!

The Wedding Cake was a beautiful 3 tier cake with paper lanterns hung in the corner, which gave a fun focal point to the room.

The Cocktail Hour gave couples a chance to take some fun and silly pictures in the Photobooth, and then the couple made their grand entrance. Mr. & Mrs Dorenzo walked down the stairs as husband and wife and they got a very warm welcome by all of their guests.

The Reception was kicked off with a great slide-show of pictures of the couple, from all of the their adorable baby pictures up to photos of them when they started dating and of course their engagement pictures. This couple has something magical and it shows! After Dinner, the couple made their way around the room and visited with guests. These love birds were just glowing with happiness. The evening continued with a playful cutting of the cake and of course dancing! The Dance

We want to wish these two the best and may they always smile as brightly as they did on this day!

Open House at The Palms Recap

If you weren't able to attend the open house on May 10th, at The Palms Pavilion in Chico, we don't mind showing you the highlights of the event!  If you attended, but just want to see some of the beautiful table settings and decor again, we don't blame you.

To better describe the inspirations behind each of the featured table settings, we will let Nyala & Rabina Khan with WeDo Designs take you through each concept one by one!

"Every year we try to renew our contract with the design world. Competing in various way to capture the attention of brides and event hosts. We want to be identified as a design team not just a rental facility. The biggest factor in any design is color, so we took that element and made it the forefront of our presentations at the May 10th Open House at The Palms Pavilion.

Every year Pantone, a company known as the color authority releases 10 colors for each season as colors of the season/year. The colors are chosen from a plethora of picked brains from the fashion and design world. To follow those color trends we infused them into our table designs. One color however reaches to the honor of "Color of The Year". This year, that color is called "Honeysuckle," which is an elegant pink. To use this color we had to place a custom order for a fabric that matched the Pantone color formula for Honeysuckle.  As you can see on our first table.

The honeysuckle table has a glitter platform pump flower garden theme centerpiece, accented by gold chains and leaf pendents medallions. This next table is using the color "Phlox," a deep royal purple from the fall lineup that carries a richness and glamor.  We used this color as an accent, as it shares glimpses in the ribbon work on the runner and chair cover. The table design is center-pieced with a wine inspired look designed by Cambry Rose Florist. The color showcased here, is "Coral Rose" which was pulled from the spring collection. It's an orangy color with a hint of warmth, and we layered it with a monochromatic organza ribbon detailed overlay. The centerpiece is as fun as the spring color.

"Nougat" from the fall collection is my favorite of them all, and we had the luxury of being able to showcase this color with the ultra luxe satin ribbon wave overlay. This table was kept monochromatic from top to bottom. This table boasts a flowerless centerpiece using feather, fabric, and crystal elements. Showing you that you don't have to have flowers to have effect.

This next table was outside of the color pallet, but is in tune with a special moment of history; The Royal Wedding. We used a soft butter cream luxe lamour table cloth and a exquisite beaded and crystal-ed lace overlay. Nothing short of royal, this table setting was donned with a gorgeous centerpiece designed with a royal crowd in mind by Cambry Rose. This table setting is a true platinum bride vision.

Creating Your Wedding Playlist

Have you hired a DJ, live band, string quartet, or orchestra for your wedding? Or maybe are you going to take charge of your own music for your event by using CD's or your Ipod.  Either way, you should still try to get a play-list together to make sure you have songs picked out for some of the highlights of your wedding.  What kind of music have you always dreamed of hearing as you walk down the aisle? Are you looking for a DJ who will also serve as an MC for your wedding? This person will essentially be the voice of your wedding, as he or she will be keeping the event flowing and announcing your entrance, first dance, cake cutting etc. A good DJ has finesse, and can get all of your guests onto the dance floor, and keep the party going.  Take the opportunity to meet potential DJ companies to ensure that you feel comfortable with their level of professionalism. Don't be shy about what your expectations are, and determine what equipment is included such as a cordless microphone, lighting effects etc.  Last, make sure your wedding venue has accessible power outlets for the DJ to set up their equipment.

Next, take the opportunity to define your personalities, and set a tone for your event  by choosing great music.  First, make sure you know the basics of wedding ceremony music. TheKnot.com has a great article about wedding music, so we have provided an excerpt here for you. "The most basic wedding ceremony music setup involves a minimum of three types of songs: preludes, processionals, and recessionals. Prelude music is light, ambient music that sets the mood while guests are being seated and waiting for the ceremony to begin. It usually begins when the doors open, or as early as 45 minutes prior to but no later than 20 minutes before the beginning of the ceremony.

Next is the processional, which accompanies the entry of the extended wedding party-- family, bridal party, and bride. The same song can be used for each, but we love the idea of changing to another song when the bride enters to add drama and highlight her entrance. At the conclusion of the ceremony, the recessional plays. As the name implies, this music accompanies you as you recess (that is, make your exit) and is traditionally bright and lively -- a reflection of your joy. " (TheKnot.com)

If you plan on using some of the more traditional wedding processional songs such as (Wedding Day at Troldhaugen by Edvard Grieg, or one of the many versions of "The Wedding March,") a piece of advice is to listen to the song using YouTube, so that you can hear the song first.
